It is designed to take the new user from installation to advanced usage as quickly and directly as possible, using a simple Question-and-Answer format. While the User Guide is intended to answer any questions a new user might have, some unforeseen questions will arise, so a comprehensive list of support resources is available at the end of this Guide.

The Question-and-Answer format chosen for this User Guide is intended to allow the user a direct and comprehensive answer to a question. The ideal way to use this Guide is by proceeding through it one question after another while using accessaphoneTM for the first time. Doing so in this manner will let the user attain a more thorough understanding of accessaphoneTM s powerful functionality while also configuring it according to his or her preferences. However, the user can also get a specific answer by navigating to the desired question within the Table of Contents using the Tab key and selecting it by pressing Enter.

In addition to this guide, the user can press the F1 key to have AP provide audible instructions about how to use the control that is currently selected within accessaphoneTM. The keystroke combination Shift + F1 will have AP provide an audible description of the contents of the current form and an overview of how to navigate through that form. For users who utilize other assistive technologies such as screen readers, these Help resources only available through accessaphoneTM s internal Text-To-Speech functionality and will not be supported by many assistive devices.

How Can accessaphoneTM Help Me?
accessaphoneTM (AP) allows a user to access the functionality of an enterprise telephone through a PC keyboard, while providing users with both visual and audible feedback about where in the interface the cursor is located, what control the mouse is hovering over, the current state of accessaphoneTM, and Audible Caller ID. accessaphoneTM also allows users of alternative input devices like speech recognition technologies and ocular tracking systems to use a telephone the same way they use their computer.

accessaphoneTM allows users to perform the following telephone functions by using the keyboard or mouse:

Place a call AP allows users to place calls in the standard way by entering the desired number, as well as several less conventional dialing methods, such as Redial, Speed Dial, Dialing contacts from the Address Book, and Dialing from the Call Log. Additionally, AP enables users to Dial a new call even while a prior call is currently on Hold.

Receive Calls AP allows users to answer calls with the touch of a single key, not only when the line is inactive, but also while a prior call is still connected.

Hold Users can place active calls on Hold, storing the active call without allowing either party to hear the other. Though the call remains active, you can answer incoming calls and Dial new calls when you have a call on Hold.

Park Users can place a selected call on Hold for retrieval from another phone or by another party. Park is not supported by all phone systems.

Transfer User can redirect a selected call to a different destination or extension, for retrieval by another party.

Conference Calling AP enables users to speak with multiple parties at multiple locations simultaneously, while still using such functions as Dial, Transfer and Hold.

Call Forwarding Users can direct all incoming calls to another phone number, enabling them to receive all incoming calls at another phone, such as a cell phone.

Immediate Divert The user can automatically divert an incoming call to Voice Mail, opening the line to place or answer a new call. Immediate Divert is not supported by all phone systems.

Call Logging AP s built-in Call Log allows the user to access a complete history of all calls (placed, received and missed) connected through accessaphoneTM during the previous twenty-four hours. Call Log contains such information as time, date and duration of every call, as well as any Caller ID information available when the call was made, and even allows the user to place calls to callers within the Call Log.

Voice Mail Access If voice mail is available, AP verbally informs the user when a Voice Mail message is waiting for them. Additionally, AP enables the user to access a Voice Mail account by storing the Voice Mail extension and password, allowing for quick and easy entry into the Voice Mail account.

DTMF (sending digits) AP provides the user with the ability to transmit digits over the phone for purposes such as entering passwords and navigating through automated answering systems which require touch-tone input.

Privacy Mode AP s Privacy Mode turns off speech in cases where the user is entering confidential numbers such as passwords, social security numbers, confidential telephone numbers, etc.

How does accessaphoneTM Work with My Present Telephone Setup?

accessaphoneTM is not a telephone. It is software designed to control your telephone and make select features offered by your telephone easier to access and use. accessaphoneTM cannot work without a compatible hard phone (desk phone) or soft phone (PC) in place. AP offers full functionality regardless of the type of phone used. Also, AP can work with one or more lines and allows the user to quickly switch back and forth between lines, though only one line can be monitored at a time.

It is recommended that a microphone headset (either wired or wireless) be used when AP and soft phone are used together. The user can then use the phone in a private setting, listen to music, and use voice activated software, all with a single headset.

User Tip: AP does not disable your telephone from working at any time. The user always has the automatic option of bypassing AP and using the telephone and its buttons and features directly. For example, if the user decides to answer an incoming call by picking up the handset, AP automatically goes into the background but remains ready to be used when needed. Additionally, when AP or the PC is powered off, the hard phone or soft phone automatically goes back to being the main telephony device.

What are the System Requirements of accessaphoneTM?

The minimum system requirements for AP are:

Microsoft Windows® 2000 with SP4 or XP Pro (SP 2 preferred)

Intel Pentium 3 Processor or above

512 MB RAM

50 MB of available hard-disk space

Sound Card and speakers or a headset with a microphone

An extension in Call Manager (with attached desk phone or soft phone)

TSP installed and configured on user's machine

Call Manager User Account with associated phone extension

Does accessaphoneTM Work with Screen Readers?

AP is compatible with Windows® based screen reading programs, though we recommend using accessaphoneTM s internal Text-To- Speech capabilities because the full functionality of AP is not supported by today s screen readers. If the user would rather interact with AP through another screen reader, it is recommended that when booting up the PC, the screen reading program is activated first and AP second. In addition, it might be helpful if the verbosity setting Typing Echo of the screen reader is set to none. This will prevent the double reading of AP keystrokes, which could be annoying or distracting to the user. Ideally, a user requiring screen reader devices should set the screen reader to sleep when AP is in focus, meaning that the screen reader will function as usual except when AP is in focus, during which the screen reader will remain silent and AP s internal Text-To-Speech will deliver all audible messages.
